Seasons greetings from all at KE! In this final issue of the EMu newsletter for 2007 we look back at two successful EMu Users Meetings, and the successful completion of a major project at the Natural History Museum, London; and look forward to the imminent release of a new iPod utility for EMu, called iMu. Tips and Tricks looks at case sensitive searching, and Did You Know takes a tour of the new Archives utility.

3rd  North American EMu Users Meeting, 16-17 October 2007

The 3rd North American EMu Users Meeting was held at the New York Botanical Garden on 16-17 October. Between breaks this year’s 70 attendees were treated to a wide range of presentation topics, including:  designing Crystal Reports; using EMu data for web content; the new EMu Conservation module; EMu dieting; using the EMu Thesaurus module as a culture authority; integrating EMu and DAMs; and future EMu developments.

Afternoons at the Gardens gave attendees the opportunity to take part in open discussion groups covering topics such as:  the EMu Security model; User Generated Content; Project Management in EMu; EMu’s Bibliography module; the EMu Import tool; and various EMu Web implementations.

Day 1 concluded with a reception held at the Visitor’s Centre Café where guests were treated to fine food, drinks and conversation. Day 2 ended with the announcement that next year’s EMu Users Meeting will be held in Las Vegas and hosted by the Las Vegas Springs Preserve.

Special thanks to those who helped organise this year’s event, in particular Barbara Thiers, Lisa Fruscella, Sylvia Nikolova and Lisa Lee.

Thanks to Ellen Bloch, Nicole Tarnowsky, Barbara Thiers and Nestor Perez-Moliere for their interesting tours of the beautiful gardens and collection areas. Thanks also to those who provided feedback regarding the success of this year’s conference.  Rest assured, your feedback is an invaluable resource for planning subsequent meetings.

Preceding the EMu Users Meeting, the American Museum of Natural History hosted the Natural History Special Interest Group meeting on 15 October.  Thanks to Richard Monk for his work in organising the event and to Joanna McCaffrey for chairing. Finally, thank you to all who attended the 2007 North America EMu Users Meeting.  The meeting  was a great success and we hope to see everyone in 2008 in Las Vegas!

6th Australasian EMu Users Meeting, 5-6 September 2007

The 6th Australasian EMu Users Meeting was held in Adelaide, Australia, on 6-7 September at the Art Gallery of South Australia, and was attended by 44 EMu users. Consensus is that this was another successful EMu meeting. The program and topics, presentations, and the venue itself drew particularly favourable feedback. Day Two commenced with the ever popular Q&A session, an opportunity for users to pose any EMu related question to KE. As there never seems to be sufficient time to answer all questions, the time allocated to this session will be increased at future meetings in an effort to bridge the gap.

Two guest speakers made presentations. Darren Peacock, Director of Sweet Technology Pty. Ltd., spoke on "Trends in using collections information on the web", and Myra Pastuch from ICS (International Conservation Services) discussed "The use of the import tool at OPH/ICS".

On both days, following the formal sessions, attendees were invited to participate in tours of local institutions: the Art Gallery of South Australia, the Migration Museum and the South Australian Museum. Judging from the feedback, these tours were the highlight of the Meeting.

Presentations and photos will be available on EMuUsers.org in the near future. We can also confirm that the location for the 2008 meeting will be the Museum of New Zealand Te Papa Tongarewa, which is in Wellington, on Tuesday 9 and Wednesday 10 September 2008.

Natural History Museum, London: Project completed

The implementation of EMu has come to a successful conclusion at the Natural History Museum, London. Five departments - Mineralogy, Entomology, Palaeontology, Zoology and Botany - now manage their collections according to museum-wide processes, including a common loans system and object entry and acquisitions, as well as integrated multimedia. 3.2 million catalogue records exist in the system, with a staggering 13.7 million records in total.

A three year phased implementation was required due to the complexity and the magnitude of the undertaking, which involved significant redesign and extension of several modules. The end result however is that the NHM has one of the most fully integrated museum systems in the world, and certainly the largest, with a standardised, centralised system to manage a vast quantity of the museum's collections.

iMu: EMu self-guided tours for iPods

upright_logo_blue.jpgKE Software is proud to announce the imminent release of iMu, an iPod interface for EMu that enables visitors to build their own tour of your museum’s collection.

How does it work?

Before visiting your museum's collection in the flesh, visitors browse it online, selecting items of interest as they go. When they're done browsing they download the selected items to their iPod (using iTunes), ready for their visit to your museum. Along with the item narratives, an audio tour is downloaded to their iPod. The tour guides the visitor through your museum, along the shortest path from one item in their selection to the next. A map is displayed for those with a screen and verbal directions are provided. As each item is reached, its narrative is narrated.

Some may have noticed that KE's website has recently undergone a major, and long-overdue renovation! As well as a new look, content has been updated and reorganised, and new content and functionality have been added.

The EMu Community Grows

Cincinnati Museum Center, Cincinnati, OH, USA

Cincinnati Museum Center at Union Terminal is home to the Cincinnati History Museum, Duke Energy Children's Museum, the Museum of Natural History & Science, the Robert D. Lindner Family OMNIMAX® Theater, and the Cincinnati Historical Society Library. It is a nationally recognised educational and research resource and one of the top cultural attractions in the Midwest. Cincinnati Museum Center serves more than 1.47 million visitors annually, reaching out to almost 200,000 young people through hands-on exhibits and programs.

As a centre for the entire community, more than 700 events are held in the building each year. Originally built in 1933 as the Union Terminal train station, the building is a National Historic Landmark and was renovated and reopened as Cincinnati Museum Center in 1990.

Beamish, The North of England Open Air Museum, Beamish, County Durham, UK

Beamish is no ordinary museum. Set in over 300 acres of beautiful countryside, Beamish vividly recreates life as it was in the Great North of England in the early 1800s and 1900s. Winner of both the British Museum of the Year and European Museum of the Year Awards, it demonstrates the recent history of the region in a "living" way and provides entertainment and education for visitors of all ages and interests.

EMuUsers.org Update

300+ EMu users worldwide are currently registered with EMuUsers.org, a site maintained by and for users. KE Software staff regularly submit answers to FAQs and participate in the site's many Forums. If you have a question about EMu, you're likely to find the answer (or someone able to answer your question) on EMuUsers.org.

November 2007 release of EMu 3.2.04

EMu 3.2.04 has now been released and includes:

  1. New Mini-Multimedia Components which will allow the display of multimedia on any tab in a module (note that using this facility will require your implementation of EMu to be customised).
  2. XML audit table, allowing complete auditing of operations in a module.
  3. Field Help reports that produce Data Dictionary documents.
  4. A Condition Check batch update tool.

EMu Help

The EMu Help is constantly being improved and updated as new features are added to EMu.

As the Help is updated frequently (and more often than a new release of EMu becomes available), the most recent Help files have been made available from our website. Download the latest version (International English, US English, French), rename it to emu.chm or emu_en-US.chm and replace the existing file.

Training

If you or your users require EMu training and you would like to save money, the solution may be to participate in joint training sessions with other KE Software clients in close geographic proximity to you. Training sessions can be organised in locations such as Ottawa, Washington DC and Chicago.

Training sessions are also available at all KE offices and at customer sites as needed. Please contact us for more information.

... EMu has a new Archives utility? This utility is an extension of the Catalogue module.

Archival description is the process of capturing, collating, analysing and organising any information that serves to identify, manage, locate and interpret the holdings of an archival institution and explain the contexts and record systems from which these holdings were selected (Definition from the Society of American Archivists). There are a number of Archiving standards and the EMu Archives utility has been developed in compliance with:

  • ISAD(G) - General International Standard Archival Description (Second Edition), maintained by the International Council of Archives (ICA).
  • The EAD - Encoded Archival Description - document type definition (DTD), which specifies the elements for description of archival collections. EAD is maintained by the US Library of Congress in partnership with the Society of American Archivists.

The Archives tab allows a user to view the entire hierarchical structure of an archive repository in one window. There are seven levels to the hierarchy (Repository, Fond, Sub-fond, Series, Sub-series, File and Item), which can be collapsed or expanded as necessary by selecting the Expand or Contract icon beside the Level:

The four buttons to the right of the Archives view are used to return to the current record and to change the position of items in the hierarchy. When an item is moved, all numbering is automatically updated through the entire Archive.

Case Sensitive Searching

A search can be case sensitive by placing an equals sign (=) before the search term:

This search will return Business but not business.

It is possible to combine a case sensitive search with a phrase search. For instance:
